Who this is for: Brand users, reps, and account (buyer) users. What you see after sign-in depends on your role and which features your brand has turned on.
Roles in Keystone
Brand users are further split into tiers:
Step 1 — Accept your invitation
Most users receive an invitation email from Keystone. The email includes a one-click setup link, a 6-digit backup code (if email scanners break the link), and a link to this documentation.- Click Accept Invitation / Access Your Portal in the email (or enter the 6-digit code on the auth page if the link does not work).
- Set a password that meets the requirements shown on screen.
- Sign in at app.keystoneb2b.io.
Step 2 — Explore the left sidebar
After sign-in, the sidebar is your main navigation:
Reps and brand users should also review Rep follow-ups for dashboard widgets that flag accounts needing outreach.
Not every item appears for every user. If you do not see Ordering, Campaigns, or Forecasts, your brand may have those features turned off.
Step 3 — Complete brand setup (brand users)
Brand administrators should work through Settings to finish onboarding:- Brand Settings — logo, colors, and styling for catalogs and invoices.
- Integrations — connect Shopify, QuickBooks, Deposco, or other systems your brand uses.
- Inventory — map warehouse regions and incoming PO sources (when ordering is enabled).
- User Access — invite brand teammates, reps, and buyer accounts.
