# Email Settings

> Configure outbound email senders and the do-not-email suppression list.

<Note>
  **Who this is for:** Brand users. Go to **Settings → Email Settings**.
</Note>

Keystone sends email for draft order approvals, campaigns, notifications, and automated reports. Email settings control who messages appear to come from and which addresses must never be emailed.

## Senders

Go to **Settings → Email Settings → Senders**.

Configure how outbound email appears to recipients:

| Field                             | Description                                                                   |
| --------------------------------- | ----------------------------------------------------------------------------- |
| **Sender email prefix** | The part before `@mg.keystoneb2b.io` (defaults to your brand slug) |
| **Sender name** | Display name shown in the inbox (typically your brand name) |
| **Reply-to email**                | Where replies are routed — required                                           |
| **Campaign attribution lookback** | Days to attribute orders to a campaign after a buyer clicks (1–30, default 7) |

No DNS setup is required when using the Keystone platform domain (`@mg.keystoneb2b.io`).

### Custom sending domain (optional)

To send from your own domain (e.g. `orders@mg.yourbrand.com`):

1. Go to **Settings → Email Settings** and scroll to **Custom Sending Domain**
2. Enter a subdomain starting with `mg.` (e.g. `mg.yourbrand.com`) and click **Add custom domain**
3. Add the DNS records shown in the table at your domain registrar (copy buttons are provided)
4. Click **Check verification** — DNS can take up to 48 hours to propagate
5. Once verified, set your sender prefix and click **Save Configuration**
6. Send a test email to confirm delivery

You can **Switch back to Keystone domain** at any time to return to `@mg.keystoneb2b.io` without losing your custom domain in Mailgun.

<Note>
  Use a subdomain like `mg.yourbrand.com`, not your root domain. This is Mailgun best practice and keeps your main domain reputation separate.
</Note>

### Test email

Enter a test address and click **Send test email** to verify your sender configuration before campaigns or notifications go live.

### Delivery stats

The senders page shows recent delivery statistics for your tenant when available.

## Do Not Email

Go to **Settings → Email Settings → Do Not Email**.

Manage addresses that must not receive email from your brand:

| Suppression scope      | Blocks                                                 |
| ---------------------- | ------------------------------------------------------ |
| **Campaigns only** | Marketing and promotional emails |
| **Transactional only** | Order confirmations, shipment notices, draft approvals |
| **All emails**         | Everything                                             |

### Adding suppressions

* Search for a **customer** and add their buyer contact emails
* **Manually add** any email address
* **Link-based unsubscribes** from campaign emails appear automatically (read-only — buyers opted out via the email link)

### Removing suppressions

Manually added entries can be removed. Link-based campaign unsubscribes cannot be removed from this screen without the buyer's consent.

<Warning>
  Do not remove link-based unsubscribes and re-email those contacts without explicit permission. This may violate CAN-SPAM and similar regulations.
