# QuickBooks Integration

> Connect QuickBooks Online to sync invoices, customers, and credit memos.

  **Who this is for:** Brand users with **Administrator** access. Go to **Settings → Integrations → QuickBooks**.

The QuickBooks integration syncs invoices and customers between Keystone and QuickBooks Online. It also supports pushing return credit memos when configured in your returns policy.

## How connection works

Keystone uses a **single platform QuickBooks app**. You do not need to register your own app in the Intuit Developer Portal.

1. Go to **Settings → Integrations → QuickBooks**
2. Choose **Production** or **Sandbox**
3. Click **Connect QuickBooks**
4. Sign in to Intuit and approve access to your QuickBooks company

  Use a QuickBooks Online admin account for the company you want to connect. The Intuit login must have permission to authorize third-party apps for that company.

## Setup overview

    Go to **Settings → Integrations → QuickBooks** and choose **Production** or **Sandbox**.

    Click **Connect QuickBooks** and complete the Intuit authorization screen.

    Map payment terms, custom fields, deposit accounts, shipping items, and tax codes on the QuickBooks settings page.

## What syncs

| Direction             | Data                                                           |
| --------------------- | -------------------------------------------------------------- |
| Keystone → QuickBooks | Invoices, credit memos (including return credits when enabled) |
| QuickBooks → Keystone | Customer and invoice reference data for matching               |

Exact sync behavior depends on your integration configuration on the QuickBooks settings page.

## Configuration options

After connecting, configure:

* **Payment terms mapping** — match Keystone terms to QuickBooks terms
* **Custom field mapping** — map invoice fields to QuickBooks custom fields
* **Deposit account** — where payments are recorded
* **Shipping item** — QuickBooks item used for shipping charges
* **Tax codes** — sales tax handling for invoice push
* **Item cost sync** — optional product cost import from QuickBooks

## Production vs. sandbox

Manage production and sandbox connections independently on separate tabs in Keystone. Use sandbox for testing before enabling production invoice push.

## Troubleshooting

| Issue                                 | What to check                                                                          |
| ------------------------------------- | -------------------------------------------------------------------------------------- |
| Connect button missing or unavailable | Contact Keystone support — the platform app may not be configured for that environment |
| OAuth fails                           | Confirm admin access to the QuickBooks company                                         |
| Connection shows disconnected         | Re-open **Settings → Integrations → QuickBooks** and click **Connect**                 |
| Sync errors                           | Review sync status and error messages on the QuickBooks settings page                  |
